When to Book a Charter Bus for the Asian Games (and What Happens If You Wait)

What a quote needs from you

A vague request gets a vague answer. The faster you supply these, the faster and more accurate the price:

• Date or dates, with start and finish times for each day
• Number of passengers, and whether that number might change
• Pickup address (hotel name and district is enough) and drop-off points
• Venues and session times you hold tickets for
• Sightseeing or meal stops in between, if any
• Luggage: suitcases, sports kit, flags, drums, wheelchairs
• Whether the coach should wait at venues or release and return
• Any accessibility needs

Pricing is built from hours, distance, expressway tolls, parking fees, and the driver's meals and accommodation on long or overnight days. The only published reference figure is a 12-hour, 45 to 50-seat coach from Nagoya at roughly ¥120,000 to ¥220,000, and that is an estimate, not a quote.

What happens if you wait

Here is the honest sequence for a group of 45 that books late:

1. The right size is gone. The 49-seat coach you needed is committed. What is left is a 29-seat Coaster and a 22-seat minibus. Two drivers, two drop-off slots, a group that has to be split and re-merged all day.
2. The vehicle comes from far away. A coach based hours from Nagoya can still be sent, but the positioning time is part of the cost, and a driver who has already driven a long way has fewer legal hours left for your evening.
3. The itinerary is built backwards. Instead of "we want Ise Jingu on the rest day", it becomes "the coach is only free from 11:00, so Ise is off". Plans shrink to fit the vehicle.
4. Day-trip destinations fill up too. Ghibli Park sells out its timed tickets, Toyota plant tours require advance booking, and cormorant fishing in Gifu ends mid-October. Late transport planning tends to come with late attraction planning, and both suffer.

None of this is a disaster. It is just more expensive and more tiring than it needed to be.

Changes and cancellations, honestly

Is it too late to book a coach for the opening ceremony on 19 September?

Not necessarily, but the vehicle class you want may be gone. Send the request anyway with your headcount and hotel; the reply will tell you what is genuinely available rather than what you hoped for.

Do I need my tickets before I request a quote?

No. You need dates, venues and a realistic headcount. Many groups request the quote while ticket purchases are in progress and confirm once seats are secured. Tickets went on general sale on 30 June 2026 and remain available for each session while seats last.

Can I hold a coach without paying?

Terms vary and are stated in the quote. Expect a deposit to confirm. A verbal hold is not a booking, and during Games weeks unconfirmed requests are released quickly.

How far ahead do Para Games groups need to book?

Earlier than standard groups. Lift-equipped or extra-space vehicles are a small share of the fleet, and the Para Games window of 18 to 24 October is short, so competition for them is concentrated.

What if the organisers move our session?
