What to include when requesting a private car with driver for the Asian Games in Nagoya: dates, passengers, luggage, venue list, meeting points and changes.
A private car quote for the Asian Games Aichi-Nagoya 2026 comes back faster and more accurate when the request contains the right six things. Most of the back-and-forth we see is caused by a missing venue city, an unclear passenger count, or a meeting point described as "the station" in a city where the station has several sides.
This is the list. Copy it into your message, fill it in, and you will normally have a firm reply within 24 hours. It applies to the Games from 19 September to 4 October 2026 and to the Asian Para Games from 18 to 24 October, and it works whether you want a 7-seat Alphard for two days or a minibus for a week. Nothing here commits you to anything.

Dates and times
Give the calendar date and the earliest pick-up and latest drop-off you can imagine, not the time the session starts. Private cars are booked in two-hour minimum blocks, so a 14:00 session might mean a 12:30 pick-up and a 17:30 return, or a single block that keeps the car with you all afternoon.
Remember that some competitions start before the opening ceremony. Men's football runs from 15 September and soft tennis at Higashiyama Park Tennis Center from 18 September, so if your ticket is for one of those, your car day is before the Games officially open on 19 September.
For the opening ceremony, Saturday 19 September, 18:00 to 20:00 at Paloma Mizuho Stadium, say "ceremony night" in the request. Every person is ID-checked at entry, queues are long, and we will plan a longer waiting block rather than a fixed return time.
Passengers
Count everyone who will be in the car, including infants and anyone joining for part of the day. Then add anything that changes the seating: a wheelchair, a walker, a pushchair, a child seat.
Vehicle classes on our fleet list are the 7-seat Alphard minivan, a 17 to 22-seat minibus, a 26 to 29-seat Coaster and a 44 to 53-seat coach. A group of six adults with luggage is already at the top of what the Alphard does comfortably; a group of eight needs the minibus. Telling us seven when it is nine costs you a morning while we re-book.
Luggage and equipment
Suitcases, sports kit, banners, drums, camera cases, a folded wheelchair. Give a number and a rough size. Airport days are the ones where this matters most: Chubu Centrair is about 40 km south of downtown Nagoya, and if the luggage does not fit, there is no quick fix on an artificial island in Tokoname.
Note that Centrair is not on our fixed-price airport transfer list, which covers Narita, Haneda, Kansai and New Chitose. A Centrair pick-up is quoted through the charter form together with the rest of your plan.
Venue list, with the city
This is the detail most often left out, and the one that changes the quote most. Aichi Prefecture is large and the Games are spread across it. Write each venue with its city:

- Aichi Sky Expo, Tokoname (beside Centrair)
- Kaiyoh Yacht Harbor, Gamagori
Road times from Nagoya are all traffic-dependent: Toyota 40 to 60 minutes, Okazaki 50 to 70, Ichinomiya 30 to 40, Gamagori 60 to 80, Tokoname 45 to 60. If your sport is not on the confirmed list above, check the official schedule for the venue and paste what it says; we will not guess.
Meeting points
Be specific to the door. Good meeting points:
- Your hotel entrance, with the hotel name and address.
- The Meitetsu Bus Center side of Nagoya Station, if you are arriving by Meitetsu or from Centrair.
- A named exit at Kanayama Station, which is the hub for Meitetsu, JR and the Meijo and Meiko subway lines and is close to the Mizuho area.
Poor meeting points: "Nagoya Station", "outside the stadium", "near the castle". Venues require private vehicles to use pre-arranged drop-off points and a specific bay is never guaranteed, so the driver will confirm the venue-side point closer to the day. Your job is the hotel and station side.
Changes you expect
Tell us honestly how the day might move. Common cases:
- Leaving a session early or staying for a medal ceremony.
- Adding a sightseeing stop if there is a gap, for example Nagoya Castle and Meijo Park next to IG Arena, or Atsuta Jingu on the way back from Mizuho.
- Weather. Late September is 20 to 30 °C, humid, and typhoon season is not over. Outdoor sports may shift.
- Party size changing between days.

FAQ
Do I need tickets before I request a car?
No. Many people request the car first and buy tickets when they know the sessions. But the venue list is what shapes the quote, so tell us which venues you are aiming for even if the tickets are not yet in hand.
Can I book one car for the whole Games period?
Yes, multi-day bookings are common. Send a day-by-day list with the venue and city for each day. Days with no venue and just sightseeing count too; Inuyama Castle is about 40 minutes by road, Ise Jingu around two hours.
What if the party changes size on one day?
Say so in the request. If one day needs a minibus and the rest fit an Alphard, we quote it that way instead of putting you in the larger vehicle all week.
Where does the driver drop us at the venue?
At a pre-arranged point set by the venue's traffic plan, not at the gate. Expect a walk of several minutes and allow time for entrance checks, longer on ceremony nights.
Is there a fixed price for Centrair airport?
Not on our fixed-price list, which covers other airports. Centrair is quoted through the charter form as part of your itinerary, roughly 45 to 60 minutes by road from downtown Nagoya, traffic-dependent.
