A group of 30 needs 15 twin rooms in the same hotel for a week in late September. During the Asian Games Aichi-Nagoya 2026, that may be hard to find in central Nagoya at a sensible price. The usual answer is to look further out: Gifu to the north, Yokkaichi to the south-west in Mie, or Toyohashi to the south-east, which is itself one of the Games host cities.
Staying outside the city works if you solve the commute. A daily charter coach that collects the group at the hotel each morning, drops at the venue, and returns after the last session turns a far-flung hotel into a private base. This article is about whether that maths works for your group and how to set it up.
The three towns in one paragraph each
Gifu sits north of Nagoya, beyond Ichinomiya. It has its own identity, with cormorant fishing on the river running until mid-October, and it is on the way to Inuyama Castle, Seki and Gujo Hachiman for rest days. Nagoya to Ichinomiya is 30 to 40 minutes by road, and Gifu is a little further; ask your operator for a route estimate from your hotel, traffic-dependent.
Yokkaichi is in Mie Prefecture, south-west of Nagoya, on the road toward Kuwana, Nagashima Spa Land and Ise. Our fact sheet does not give a road time, so get it from the operator when you request a quote. The advantage is proximity to the Ise side for a rest-day excursion.
Toyohashi is south-east, beyond Gamagori, and is named officially as a host city for both the Asian Games and the Asian Para Games. A group with tickets for sessions in that direction has a good reason to base there. Nagoya to Gamagori is 60 to 80 minutes by road, so a Toyohashi to central Nagoya commute is a longer one; for venues on the eastern side, such as Toyota or Okazaki, the geography may work better. Check the official schedule for which sports are held in Toyohashi.
Does a daily shuttle make sense? Do the sums
The economics of a daily coach depend on three numbers: the room saving, the coach cost, and the headcount.
Our one published coach estimate is a 12-hour, 45 to 50-seat coach from Nagoya at roughly ¥120,000 to ¥220,000 per day, estimate only. Pricing depends on hours, distance, tolls, parking and driver meals or accommodation. A shuttle from an outlying town adds distance and tolls each way, and if the coach is based near your hotel rather than in Nagoya the picture changes again. Request a quote for your actual hotel.
Then divide by headcount. A worked example using illustrative figures, not quotes:
| Item | Group of 40 | Group of 15 |
|---|---|---|
| Coach cost per day (your quote) | X | X |
| Cost per person per day | X divided by 40 | X divided by 15 |
| Room saving per person per night vs central Nagoya | your research | your research |
| Verdict | Often worth it | Often not |
The pattern is consistent: a daily shuttle coach suits groups of 30 or more. Below about 15, the room saving rarely covers the coach, and a hotel in Nagoya near a subway line is simpler. For 15 to 20 people, a 17 to 22-seat minibus rather than a full-size coach can shift the balance back.
The daily rhythm
A shuttle-based Games week looks like this. Times are placeholders; use the official session times.
| Time | Movement |
|---|---|
| 07:00 | Coach at hotel, headcount, depart |
| Arrival | Drop at venue, agreed point; coach leaves or repositions |
| Session | Group in venue |
| Between sessions | Coach can move the group to lunch, a second venue, or a city attraction |
| Evening | Pickup at agreed point 30 minutes after scheduled end |
| Night | Hotel drop-off; driver's day ends |
Two design choices matter.
One venue per day or two? A coach on a day booking can do a morning session in Nagoya and an afternoon session in Toyota or Okazaki, but only if the schedule leaves three to four hours between them.
Where does the coach sleep? If the driver's base is in Nagoya and your hotel is in Gifu, the driver commutes to you each morning, which may be reflected in the hours. If the coach and driver stay near your hotel, driver accommodation is a cost line. Ask which model the quote assumes.
Where a shuttle base wins outright
- Late finals. Trains run until around midnight, but a 30-person group changing trains at Nagoya Station at 23:00 to get back to Gifu or Toyohashi is a genuine risk of a missed last connection. A coach removes it.
- Rest days. From Gifu, Inuyama Castle and Gujo Hachiman are natural half-days. From Yokkaichi, Ise Jingu is on your side of the map. From Toyohashi, Gamagori's Takeshima island and Laguna Ten Bosch are close. The same coach that shuttles you to the venue does the excursion.
- Luggage on arrival and departure days. The coach collects at Centrair and delivers to the outlying hotel in one run. Centrair is not on our fixed-price airport transfer list, so this goes through the charter quote form.
- Weather. Typhoon season is not over. A coach is a dry base and can re-route by road when a train line is suspended.
Where it loses
- Small groups. Covered above; under 15 people, stay central.
- Individuals who want to wander. A shuttle imposes a timetable on everyone. If your group is loose-knit and people want to leave sessions at different times, half of them will end up on trains anyway.
- Very early sessions with a long commute. A 09:00 session in Nagoya from Toyohashi means a coach departure before 07:00. Do that for a week and the group is tired by Thursday.
Alternatives to compare
Nagoya's rail network is strong. Nagoya Station is served by JR, Meitetsu and Kintetsu lines, so each of these towns has a rail route into the city; check the timetables for your hotel. A hybrid plan, coach for evening sessions and rest days, train for straightforward daytime trips to central venues, can trim the coach hours and the cost. See our comparison of coach and train for groups for the trade-offs.
How to book with OlaChill
Tell us your hotel town, your session list with venues and times, headcount and luggage through the charter coach quote form and we reply within 24 hours with a daily shuttle plan and a price.
For a group of six to eight staying outside the city, a 7-seat Alphard on an hourly basis may make more sense than a coach; the tariff is on that page. Every person in the group should have a working phone in Japan, and a travel eSIM is the simplest way to arrange that.
FAQ
Is it realistic to stay in Gifu and attend sessions in Nagoya every day?
Yes, with a daily coach. Gifu is north of Ichinomiya, and Nagoya to Ichinomiya is 30 to 40 minutes by road, so budget somewhat more for Gifu and confirm the estimate with the operator. Traffic varies by time of day.
How far is Toyohashi from the Nagoya venues?
Our fact sheet does not give a Toyohashi to Nagoya road time. Nagoya to Gamagori, which is on the way, is 60 to 80 minutes, so plan for a longer commute and ask for a route estimate. Toyohashi is also a host city, so check the official schedule for sessions there.
What size group makes a daily shuttle coach worth it?
Typically 30 or more, because the coach cost is divided among more people. For 15 to 20 people, a minibus can work. Below 15, a central Nagoya hotel is usually simpler and cheaper overall.
Can the same coach do a rest-day excursion?
Yes. A coach on a day booking can take the group to Inuyama, Ise or Gamagori instead of a venue. Pricing depends on hours, distance and tolls, so a longer excursion day costs more than a short shuttle day.
