1. Information we collect
When you book, request a quote or contact us we collect your name, email address, phone number and travel details (dates, places, number of travellers, pick-up and flight information). Some services need more: date of birth, nationality and driving-licence details for car rental; each passenger's body weight for helicopter flights (required for weight-and-balance); passport details where an operator requires them. If you choose to give a messaging ID (LINE, WhatsApp, Zalo, KakaoTalk or similar) we use it only to contact you about your booking. If you sign in with Google, Apple, LINE or X we receive your name, email address and an account identifier from that service. Partners and creators who join our programmes provide business details, licence documents and bank details for payouts. We also collect technical data such as IP address, browser and device type, pages viewed and access times.
2. How we use information
To process bookings, quotes and payments; send confirmations, vouchers and service notices; provide customer support; pay partners and creators; prevent fraud and abuse; improve our services and measure performance; and comply with legal obligations.
3. Health-related information (medical travel requests)
Our medical-travel request form asks what the visit is for. That can reveal health-related information, which Japanese law treats as special-care-required personal information. We collect it only with your consent when you submit the form, use it only to arrange the appointment, interpreting and transport you asked for, and share it only with the clinic or hospital concerned. Please do not send medical records through the website; the clinic will ask for them directly if needed.
4. Payment processing
Card, Apple Pay, Google Pay, PayPay, convenience-store (konbini) and other wallet payments are processed by Stripe. Bank transfers offered only on our Vietnamese-language site are processed by a Vietnamese payment provider. These providers process the payment details needed to authenticate and complete the transaction and to prevent fraud. OlaChill never stores full card numbers or card security codes.
5. Service providers and sharing
OlaChill does not sell personal data. We share the minimum information necessary with: the operator, venue or driver delivering the service you booked; Stripe and, for bank transfers on our Vietnamese-language site, a Vietnamese payment provider (payments); Resend (email delivery); Cloudflare (network security and content delivery); our server hosting provider; OpenAI, which processes the text you type into our AI travel assistant or planner (do not enter sensitive information there); and, only if you accept analytics cookies, Google Analytics and Meta (advertising measurement). We also disclose information to competent authorities where the law requires it.
6. International transfers
OlaChill is based in Japan. Our servers are located in the United States, and several of the providers above process data in the United States or other countries. Personal data protection rules in those countries may differ from Japan's. We use these providers only to deliver the services described here and require them to protect the data. 7. Security and retention
We use reasonable safeguards such as encrypted connections, access controls and system monitoring. Information is kept for as long as reasonably necessary to provide services, handle disputes, prevent fraud and meet legal obligations, then deleted or anonymised where appropriate.
8. Cookies and analytics
We use essential cookies to keep you signed in and remember your preferences. Analytics and advertising cookies (Google Analytics, Meta Pixel) load only after you accept them in the cookie notice; you can withdraw consent by clearing cookies in your browser.
9. Your rights
Depending on applicable law (including Japan's Act on the Protection of Personal Information), you may ask us to disclose, correct, delete or stop using your personal data, or withdraw consent where processing is based on consent. Contact support@olachill.com to make a request.
